Development & Volunteer Coordinator

A full-time opportunity to support our fundraising team, work in our donor database, and coordinate our superstar volunteers!

BACKGROUND:
The Pike Place Market Foundation is a non-profit organization located in the heart of Seattle, in Pike Place Market. The Market Foundation nurtures a thriving Market community so the people within it can live their best life possible. POSITION SUMMARY:
The Development & Volunteer Coordinator position will assist in the achievement of the agency’s mission to nurture a thriving Market community by working in this highly collaborative role to achieve fundraising goals with core responsibilities focused on the maintenance of donor records, database management, acknowledgement and stewardship of donors and managing volunteer activities for the Foundation.

DUTIES AND RESPONSIBILITIES:
Donor Development & Management:
Engage with culturally diverse groups of stakeholders including donors, volunteers and community partners in a manner that is welcoming and inclusive:
1. Maintains and supports all activities involving donor moves management tracking and coordination with assigned solicitors in alignment with community centric fundraising principles
2. Manages constituent and gift data updates and gift processing into the agency’s donor database systems at the highest level of accuracy, and works in collaboration with the Finance Manager
3. Drives personalized mission-focused stewardship in coordination with staff, board members and volunteers; handles digital and mailed gift acknowledgments
4. Coordinates list management for Foundation communications and donor recognition opportunities
5. Oversees set-up and deployment of digital platforms for event fundraisers; Coordination of special event guest list creation, invitation and RSVP management and follow up.
6. Oversees securing in-kind, community partner level donation of items and services; including coordination of donors participation in tangible giving drives
7. Supports event logistics prior to event day.
8. Coordinates meeting minutes on behalf of board and committee meetings

Volunteer Coordination:
1. Manages volunteer donor database with contact information and hours to steward relationships throughout the year
2. Recruits volunteers for events in coordination with Event Manager
3. Trains, supervises and manages all Event Day Volunteer elements: assignments, provide job descriptions for specific day-of roles; troubleshoot technological and functional issues as they arise

DESIRABLE WORK EXPERIENCE AND QUALITIES:
1. The ideal candidate for this position will have a demonstrated commitment to non-profit organizations with people skills and the ability to foster energy, hope, compassion, and good humor in a dynamic, fast-paced environment.
2. Must have strong relationship-building skills and experience in managing donor data and relationships or similar experience. Excellent project management skills and enthusiasm for collaboration are necessary to this role.
3. Excellent writing skills; creative and collaborative, with an enthusiasm for building community
4. Excellent communications skills; including the ability to communicate effectively and remain calm and courteous under pressure
5. Computer Skills: This job requires specialized computer skills. Familiarity with Raiser’s Edge database processes, imports, queries, and exports to produce detailed and accurate reports in research, mailings, analysis, executive reporting is desired. Proficiency with Microsoft Outlook, Word, and Excel.
6. Ability to effectively lead groups of volunteers and delegate tasks.
7. Ability to work both independently and as part of a team.
8. Demonstrated ability to manage projects and meet deadlines.
9. Work collaboratively in a team environment with a spirit of cooperation with stakeholders across the organization
10. Experience engaging in personal and organizational diversity, equity, and inclusion discussions with the desire to improve systems to dismantle racism and other forms of oppression.

Pike Place Market Foundation offers a competitive salary range of $47,000-$55,000, a comprehensive benefits package, and a supportive and positive work environment. The benefits package includes a generous paid vacation program, personal leave and family leave. Pike Place Market Foundation pays 100% of health, dental and vision insurance for the employee; voluntary benefits include Section 125/FSA and long-term disability. Special Events Intern

Come help us make this season’s events at Pike Place Market a smashing success through this summer internship!

BACKGROUND:

POSITION SUMMARY:
The Special Event Intern’s primary focus will be on our largest fundraising event of the year, Sunset Supper at Pike Place Market, which will be held on August 19th, 2022.  Sunset Supper features food & beverages served by 100+ of Seattle’s top restaurants, wineries, breweries and beverage companies. The event takes place in historic Pike Place overlooking Elliott Bay and attracts more than 1,600 guests. Entertainment includes live music and dancing, raffles and Seattle’s most unique party atmosphere.

This internship offers a unique opportunity for a hands-on role in event planning, fundraising, gift procurement, health and safety regulation, marketing, and project management to gain experience producing large, complex charitable event(s).

The Pike Place Market Foundation will also host a hybrid fundraiser on Thursday, May 12th, 2022 – Celebrate the Market!  This is a warm-hearted evening where we share stories of our impact and celebrate our thriving Market community while raising vital funds for our community.  This event includes an in-person cocktail hour, dinner, stage program, paddle raise and celebration that is also live-streamed to YouTube and Facebook.  Helping out the week of this event will be very impactful, while giving you a glimpse into the world of how the Market Foundation events work and allow you to hit the ground running.

DUTIES AND RESPONSIBILITIES:

  • Raffle procurement and organization: Request in-kind donations from local businesses for Sunset Supper raffle items. Develop plan, track and organize donations for the event.
  • Data entry: record information about guests, vendors, and volunteers in donor database (training provided)
  • Vendor management: communicate with vendors and organize materials for City of Seattle permitting and event placement logistics
  • Inventory and supply management: take detailed inventory of supplies and assist in ordering/procuring supplies needed
  • Event logistics: assist in coordinating various site-related logistics.
  • Volunteer management: train and organize office and event volunteers as needed.
  • Attend event-related meetings and volunteer trainings (some evenings required)

REQUIRED SKILLS:

  • Excellent administrative, oral and written communications; proofreading skills.
  • Comfortable interacting with the public, in-person and on-phone.
  • Able to ask people and businesses for donations with proactive follow-up (donations, participation, etc.)
  • Ability to be proactive and work independently with a “can-do attitude”.
  • Maintain the highest attention to detail.
  • Professional and courteous demeanor at all times with public, donors and co-workers.
  • Maintain a level-head and positive attitude during event-days in a crowded Market.
  • Computer processing skills including MS Office required (Excel is a must!)
  • Preference given to applicants who have non-profit volunteer experience.
  • Sunset Supper is a 21 and over event; as the intern is required to work at the event, they must be over 21 years of age as of 8/19/2022.

WORK ENVIRONMENT/PHYSICAL DEMANDS:
This position requires good vision and hearing for computer and telephone work.  The ability to lift a minimum of 25 pounds is essential.  A reasonable level of physical labor is required for event as intern will make deliveries to downtown restaurants, often on foot over cobblestones, pushing carts, and walking up and down flights of stairs.

INTERNSHIP SCHEDULE:
May 9–13 – special event introduction and assistance for Celebrate the Market! hybrid fundraiser on the evening of Thursday, May 12th, 2020 (optional)
June 1–30 – Part-time (20 hours/week)
July 1–31 – Full time (30 hours/week)
August 1–31 – Full time (40+ hours/week) – Sunset Supper is Friday, August 19th, 2022
Includes some evening hours.  Exact start/end dates can be discussed.

COMPENSATION:  $3,000 total stipend & bus pass provided.  Stipend will be prorated and distributed monthly.

Secret Garden Intern

Spend the summer at Pike Place Market’s best-kept secret, growing produce in our community garden!

About the Pike Place Secret Garden: The Pike Place Secret Garden is a community-led giving garden that grows a bounty of produce for the Pike Market Food Bank. A program of The Market Commons, the Garden increases access to culturally relevant foods for Food Bank shoppers and offers intergenerational programming and volunteer opportunities for our neighbors in Pike Place Market. The Garden roots the Market community through a shared passion for collaboration, gardening, and equitable food access.

About the Position: The garden intern will be responsible for executing the Garden’s annual planting plan and delivering weekly harvested produce to Pike Market Food Bank. This seasonal position offers meaningful experience with hands-on gardening from seed to harvest. If you are passionate about community gardening, and want to develop your leadership skills, then apply to intern with us!

Responsibilities:

  • Execute established garden work plan including planting and harvesting
  • Assess and fulfill the garden’s daily needs, such as watering, weeding, disease/pest mitigation, and general garden upkeep
  • Maintain a detailed record or plantings from seed to harvest
  • Coordinate weekly produce deliveries with Pike Market Food
  • Opportunity to assist with weekly vegetable bag packing

Preferred Skills:

  • Hands-on vegetable gardening experience: planting, harvesting, watering, weeding, etc.
  • Willingness to work majority of hours outside in the sun and varying weather conditions
  • Exemplary interpersonal and communication skills
  • Experience working with diverse communities of all backgrounds and ages
  • Passion for local food systems and community gardening

Safety Considerations: We require that all staff and interns are fully vaccinated by having received at least two doses of the COVID-19 vaccine. Details to ensure mutually agreed upon safety protocols will be discussed during onboarding.

Time Commitment: 15-30 hours a week, but exact hours and start date can vary based on garden needs and individual’s schedule.

Food Access Intern

A part-time summer opportunity to help promote food security and support programming in the Pike Place Market community!

About the Pike Place Market Foundation’s Food Access Program: The Food Access Program, administered by the Foundation’s neighborhood center The Market Commons, aims to support food security for all Pike Place Market community members and help create equitable access to the nutritious, quality foods offered at Pike Place Market.

About the Position: The Food Access intern will be responsible for assisting with a variety of seasonal programs and engaging with activities such as weekly produce bag packing, summer farmers markets, subsidized shopping programs, and community gardening. This seasonal position offers meaningful experience with community food access and farmers market operations. If you are passionate about local food systems, and want to develop your leadership skills, then apply to intern with us!

Possible Responsibilities:

  • Assist with weekly vegetable bag packing
  • Support farmers market staff at seasonal summer markets by helping with food access transactions and engaging with shoppers at the information tent
  • Administer food access shopping programs at The Market Commons
  • Collaborate with Summer Garden Intern on daily community garden tasks
  • Assist with Food Bank distribution

  • Willingness to work outside in the sun and varying weather conditions
